Outlet visits and reorder calls for FMCG distributors

Each salesman’s outlets are one list on the phone he carries, every shop visit is checked in and out, and retailers who are due to reorder come up for a call on the right day, whether the order is taken at the counter or over the phone.

Where distributor sales slip

  • Beat visits are hard to verify

A salesman’s daily report lists twenty outlets. Without a check-in at each shop, the supervisor cannot tell which were visited and which were phoned.

  • Reorders wait for the retailer to call

An outlet that ordered last week needs a call before its stock runs down, and without a schedule another distributor’s salesman gets there first.

  • Retailers ring the salesman, not the office

Order calls come to a salesman’s mobile while he rides between shops, and a missed call from a new shop is often never returned.

  • New outlets are not followed up

A shop that took a trial order needs a second visit and a call, which is easy to drop on a busy beat.

A salesman’s day on the beat

How a distributor’s field salesmen and the office telecaller share one record of every outlet.

  1. 11 / 5

    Each beat is a sheet

Import each beat’s outlets from Excel or CSV as its own sheet, assigned to the salesman who covers it, with outlet type and area in custom fields. Filter Leads by sheet to see one beat at a time.

  2. 22 / 5

    Check-in at every outlet

At the shop the salesman checks in from the outlet’s record and checks out with the order taken or the reason there was none. The first visit can save the shop’s location, and later visits are measured from it.

  3. 33 / 5

    Retailers’ calls become leads

A missed call from a new number on the work SIM can become a lead with a callback due, so a new shop that rang during a ride gets a call back. Numbers marked Not a lead are ignored after that.

  4. 44 / 5

Reorder calls come up on schedule

An outcome such as Order taken can book the next call a set number of days later, so the outlet comes back into the salesman’s or the office telecaller’s queue on that day.

  5. 55 / 5

    The supervisor sees the beat

Field visits shows each salesman’s outlets in visit order with time spent and the route in Google Maps, and Reports show calls and outcomes per person.

On Android, every call on the work SIM is logged on the right lead with its exact duration, including calls dialled from the phone’s own dialer. On iPhone, calls started from LumaKol are logged with an approximate duration measured by the app. Either way, the outcome is one tap away after each call.

Outlet stages, from new shop to regular

There is no distribution template to pick at sign-up. Choose General sales, rename and add stages under Setup → Pipeline to match these, and add outcomes such as Order taken under Setup → Call outcomes.

What distributors and sales supervisors use

  • Field visits and day routes

Check-in and check-out at the outlet with a note, the distance from the shop’s saved location and each salesman’s route for the day, with no background tracking.

  • Follow-ups and retry rules

Outcomes book the next reorder call or visit by themselves, and retry rules bring back retailers who did not pick up.

  • A calling queue that serves the best lead first

Office telecallers work the day’s reorder calls from one queue that serves the best lead first, instead of scrolling a register.

  • Missed calls become leads

Missed calls from new numbers on the work SIM can become leads with a callback due. It is off until you switch it on.

  • WhatsApp, SMS and email templates

Price lists, scheme details and order confirmations open in WhatsApp, SMS or email on the salesman’s phone with the outlet’s name filled in.

  • Attendance and breaks

A day check-in with an optional location, typed breaks and shifts with late marks, in the same app the salesman uses for visits.

Where your leads come from

Connect the channels you already use; new leads reach the calling queue as they arrive.

  • CSV / Excel import

Outlet lists per beat from your distributor software or Excel.

  • IndiaMART

Enquiries from retailers and sub-distributors who find you there.

  • JustDial

Enquiries from your listing land in the queue.

  • Hosted forms

Put the QR code on counter displays and delivery notes.

  • Website webhook

Any website or form tool can send leads to your workspace URL.

  • Public API

Create and update leads from your own systems.

Questions from distributors

Does LumaKol take orders, manage stock or raise invoices?+

No. LumaKol records visits, calls, outcomes and follow-ups. Orders, stock and billing stay in your distributor or billing software; the salesman can note the order in the visit’s check-out note.

How do we set up beats?+

Import each beat’s outlets as its own sheet and assign it to the salesman who covers it. On the Leads page, filter by sheet to see one beat, or by follow-ups due today to see the day’s calls.

Can we see which outlets a salesman really visited?+

Each check-in shows “At the location” when it is within 200 metres of the outlet’s saved location, or the distance away. Check-ins from the app are also checked for signs of a faked location, such as a mock-location app or an impossible jump, and marked for the supervisor.

Will the app track salesmen while they ride between shops?+

No. Location is read once at each outlet check-in and check-out, and at the day’s attendance check-in if you ask for it. The day’s route joins those stops in a straight line.

Retailers send orders on WhatsApp. Can LumaKol read them?+

No. LumaKol does not read WhatsApp chats. Templates open WhatsApp on the salesman’s phone with the text ready, one outlet at a time, and each message sent from a template is logged on the outlet.
