What it does
What a rule can do
Every rule has three parts. When is the trigger: a new lead arrives, a new lead is not called in time, calls go unanswered, a follow-up is overdue, a lead changes stage, or a call outcome is logged. Only if narrows it to a lead source, stages, tags or owner. Then lists up to six actions, done in order.
Each change a rule makes appears on the lead’s timeline with the rule’s name, so an agent who finds a lead reassigned can see why. A change made by a rule never sets off other rules, so two rules cannot pass a lead back and forth.
Assign or share in turn
Give a lead to one person or round-robin it. A lead nobody called is never handed back to the person who didn’t call it.
Timed triggers
“Not called in time” and “follow-up overdue” are checked every minute.
Stage, tags and follow-ups
Move a lead to a stage, add tags, or set a follow-up in minutes, hours or days.
Notifications
Alert the lead’s owner, managers, or specific people.
Start a sequence
Add the lead to a drip sequence of emails, message reminders and call tasks.
Activity log
Each rule shows how often it ran; Recent activity lists what every rule did as Done, Nothing to do or Failed.
How it works
How to build a rule
Setup → Automations → New rule.
- 1
Pick the trigger
Choose When: for example “A new lead is not called in time” with 10 minutes.
- 2
Narrow it down
Optionally add Only if: lead source is IndiaMART, the lead is in certain stages, has a tag, or has no owner.
- 3
Add the actions
Up to six, in order: notify managers, then share the lead in turn between the callers you tick.
- 4
Switch it on and check
The rule list reads each rule as one sentence. Recent activity shows every run.
Who it’s for
Who it’s for
Teams where speed wins
Teams buying leads from portals and ads, where an enquiry left for an hour is often lost.
Managers tired of chasing
Managers who spend the day reminding people about overdue callbacks.
Round-robin teams
Teams sharing leads fairly across callers, including missed-call leads.
Good to know
- File imports (CSV, Excel or a pasted list) do not set off “A new lead arrives”, so a big upload does not send hundreds of notifications; “Not called in time” still covers imported leads. Google Sheets sync and CRM sync do: every new lead they bring in runs it, the rows already in a synced sheet included.
- Rules do not send WhatsApp messages. A rule can add a lead to a sequence whose WhatsApp step reminds the owner with the text ready.
- How many rules can be on at once depends on the plan: 3 on Starter, 25 on Growth and 50 on Business.
Questions
More answers on the FAQ page.
What counts as calling a lead?
Any call the phone synced for that lead, even one without an outcome yet. A lead with a synced call is not “not called”.
Can rules loop?
No. A change made by a rule does not set off other rules.
Are there templates?
Yes: call new leads fast, after 3 unanswered calls, overdue follow-up alert, and win back lost leads. Each fills in the builder for you to adjust.
Can a rule use custom fields?
Conditions use lead source, stage, tags and owner. Custom fields cannot be used in conditions.
How many rules can I run?
3 active rules on Starter, 25 on Growth and 50 on Business. LumaKol has a 14-day free trial, then paid plans from ₹399$9 per calling seat per month.
