What it does
How each kind of step works
Only email steps send by themselves. They go from the lead owner’s own mailbox if they connected one under Settings → Email, otherwise from the workspace mailbox, using SMTP. LumaKol never sends them from its own address, and with no mailbox connected the step is skipped. Every email has a stop link and one-click unsubscribe.
WhatsApp and SMS steps notify the owner, and the lead’s page shows the message with a button that opens it filled in on their phone. A step nobody sends within three days is skipped. Task steps set a follow-up due now, so the call lands in the owner’s Follow-ups with a reminder.
Email steps
Sent from your connected mailbox, with replies landing in that inbox and a daily limit that protects the mailbox.
WhatsApp and SMS steps
The owner is prompted and sends from their own number with the text ready. Nothing goes out without a person pressing send.
Call tasks
A follow-up due now in the owner’s list, with the phone reminder.
Waits in days and hours
Each step waits after the one before it, in days plus 0 to 23 hours. 0 runs it straight away.
Lead details filled in
Insert variables such as {{first_name}}, {{agent}}, {{org}} and your custom fields.
Exits that make sense
Leads leave when won or lost, or when a call is answered. Both switches are on by default.

How to start a sequence
Setup → Sequences.

Copy a starter
“New enquiry welcome” (email now, WhatsApp next day, call task on day three) or “Could not reach” for leads who do not pick up.

Edit the steps
Change waits and text, start steps from your message templates, and give email steps a subject.

Connect a mailbox
Each person can connect their own mailbox under Settings → Email, and an admin can connect one for the workspace.

Add leads
From a lead’s page, in bulk from the leads list, or with an automation rule such as every new Google Ads lead.

Good to know
- LumaKol does not send WhatsApp or SMS messages itself. Those steps always go from the owner’s own phone.
- Email steps need a connected mailbox. A lead without an email address skips email steps; one without a phone number skips WhatsApp and SMS steps.
- How many sequences can be on at once depends on the plan: 3 on Starter, 25 on Growth, unlimited on Business.

Which address do sequence emails come from?
From your own email account: the lead owner’s connected mailbox, or else the workspace one. LumaKol never sends them from its own address.
Does LumaKol send WhatsApp messages automatically?
No. A WhatsApp or SMS step reminds the owner and opens the message ready to send from their own phone.
What happens when a lead clicks the stop link?
Your workspace sends them no more emails and any email step for them is skipped. Calls and messages your team sends by hand are not affected.
When does a lead leave a sequence?
When it is won or lost, when a call is answered, if it asks for no emails, or when someone presses Stop.
How many sequences can I run?
