Payment terms

These payment terms explain how LumaKol subscriptions are charged, what happens when a payment is missed, and our no-refund policy. They form part of the Terms of Service; where the two differ on payments, these terms apply.

The short version

  • 14-day trial, no card

Every new workspace gets 14 days free — on the Growth plan — with up to 3 callers and 500 leads. Nothing is charged, no card is asked for, and everything you set up stays when you subscribe.

  • Billed per seat, in advance

You pay for agent and team-lead seats up front, monthly or annually — in rupees in India and in US dollars everywhere else. Owners, admins, billing admins and viewers are free, up to three per workspace.

  • Missed payments pause, not delete

A renewal that goes unpaid gets 15 days’ grace, then the workspace pauses with every lead, call and recording kept. Paying resumes it immediately; deletion only follows 90 days later.

  • Payments are final

There are no refunds once a subscription or renewal is paid, including for unused seats or unused time. We only put right a charge made in error, or a refund the law requires.

A plain-language summary for orientation only. The numbered sections below are the agreement that actually binds us both.

1Plans and seats

LumaKol is sold as a subscription per seat, paid in advance for the period you choose — monthly or annually. The plan, the number of seats and the billing period are all shown before you confirm, and the per-seat price that applies is the one listed on the pricing page when you subscribe.

  • Starter, Growth and Business start at a single seat.
  • Existing Solo subscriptions keep their single-seat plan and price until they change plan.
  • Enterprise is priced by quote — see “Enterprise agreements”.

Agents and team leads occupy a paid seat. Owners, admins, billing admins and viewers do not, up to three such users per workspace; beyond that, further non-seat users take a seat too. When the Team page tells you no seats are available, add seats in the Billing area before inviting anyone else.

Each plan has its own limits — seats, leads stored, custom fields and active automation rules and sequences — and its own set of automatic lead sources that can be connected. Call-recording sync is included on every plan. The pricing page shows the exact limits for each plan.

2Free trial

New workspaces start with a 14-day free trial — on the Growth plan, for companies and individuals alike. No card is required, no payment details are asked for, and nothing is charged during the trial.

During the trial a workspace can add up to 3 callers (agents or team leads) plus up to 3 free owners, admins, billing admins or viewers, store up to 500 leads and create up to 5 custom fields. Exporting data unlocks once a plan is paid for.

Everything you set up while trialling — leads, team members, pipeline stages, custom fields and settings — stays exactly as it is when you subscribe. To continue, choose a plan in the Billing area before the trial ends.

If the trial ends without a plan, the workspace becomes read-only for 15 days and then pauses (see “When a payment is missed”). Nothing is deleted when it pauses.

3Billing cycle and renewal notices

Subscriptions renew automatically at the end of each period — monthly or annual — for the same plan, seats and period, unless you change or cancel them first.

  • Seven days before a period ends we issue a renewal notice (a proforma invoice) for the next period and email it to the billing contact. It is due on the first day of the new period.
  • You pay it online in the Billing area or from the link in the email.
  • A numbered tax invoice is issued only when the payment is confirmed, dated on that day. Until then the document is a proforma and is not a tax invoice.
  • Reminders are sent before and after the due date, to the billing contact and to the workspace owners.

The subscription runs on from the moment the payment is confirmed; paying early does not shorten the period you have already bought.

4Currency

LumaKol bills in two currencies, and only two: Indian rupees (INR) and US dollars (USD).

Your workspace’s country decides which one applies. Workspaces in India are billed in rupees and receive a GST invoice; workspaces in every other market are billed in US dollars on an export invoice. This is not a choice made at checkout and it does not vary from one payment to the next.

  • We do not convert between the two currencies, and we do not price-match one list against the other.
  • Your subscription, its invoices, any credit note and any refund all stay in the currency the workspace was set up in.
  • Your bank or card issuer may add a foreign-exchange, cross-border or international transaction fee and may apply its own exchange rate. Those charges are between you and your bank. They are not part of what we invoice, we do not receive them, and we cannot refund them.

If the country on your workspace is wrong, write to [email protected] before your next renewal so it can be corrected.

5Payment methods

Payments are collected online through our payment processor, Razorpay. In India you can pay by UPI, card or net banking; elsewhere, the methods your card issuer supports are offered at checkout. What is available depends on your country and your bank.

A single online payment has an upper limit. When an invoice is above it, Billing shows our bank details instead of the checkout and we email them to you with the proforma: you pay by bank transfer (NEFT, RTGS or IMPS), quoting the proforma number, and the plan starts once the transfer reaches us, usually within one working day.

Card and bank details are entered with the processor and never reach LumaKol’s servers. We keep only the outcome of each attempt — its status, the processor’s reference and the invoice it settled — and you can see that list under Payments in the Billing area.

If a payment fails, the processor usually gives a reason, such as an expired card, a bank decline or a transaction limit. The renewal simply stays open, and you can pay it again from the Billing area or from the link in the email.

6Invoices and credit notes

Two documents are issued around every payment.

Before payment

A proforma invoice is raised when a subscription or a renewal becomes payable. It sets out the plan, the seats, the period it covers, any tax and the amount due. It is a request for payment, not a tax invoice.

After payment

A numbered tax invoice is issued when the payment is confirmed, dated the day the money is received. Credit notes are issued where one applies — to correct an invoice, or to record a refund allowed under “No refunds”.

Invoices carry the legal name, address and GSTIN or tax ID held under Billing → Tax & invoice details, printed exactly as they are entered there. Every document in the invoice list can be downloaded as a PDF.

Check your billing details before you pay. A tax invoice cannot be altered once it is issued, so corrections to your legal name, address or tax ID apply from the next renewal onwards — update them in good time.

7Taxes

Prices exclude tax. Any tax that applies is added before you confirm and shown as its own line on the invoice.

For customers in India, GST is added at the rate in force — CGST and SGST within the seller’s state, IGST elsewhere. A valid GSTIN in your billing details is printed on the invoice so you can claim input credit, and the state you enter sets the place of supply. Supplies to customers outside India are treated as exports of services and no GST is added; you remain responsible for any tax due in your own country, which for many customers means self-assessing under a reverse charge.

Where we are required to charge a tax in your market, we charge it and show it on the invoice. Your billing details decide which rules apply to you, so keep them current — see “Invoices and credit notes”.

8Changing plans and seats

Adding seats or moving to a higher plan takes effect immediately. The difference for the rest of the current period is charged pro rata on a separate invoice, and the extra seats become usable once that payment is confirmed.

Reducing seats or moving to a lower plan takes effect at the next renewal. Nothing is returned for the current period, and a reduction cannot take you below the minimum seats for your plan.

A seat held by an invitation that has not yet been accepted counts as used until the invitation is accepted or withdrawn, so check the Team page before buying more.

9Price changes

The prices shown on our pricing page can change — for a plan, for a currency, or when what a plan includes changes.

A change to the list price does not affect a subscription that is already running. You keep the price you are paying until the end of the current period, whether that period is a month or a year.

Where a renewal would fall due at a new price, we give you reasonable notice before it — by email to the billing contact and in the Billing area — so you can see what the next period will cost before you are asked to pay for it. The renewal notice itself always states the amount due.

If you do not accept the new price, cancel before the renewal falls due. The subscription then runs to the end of the period you have already paid for and stops. Paying the renewal, or carrying on past that date, means you accept the new price.

Prices agreed in an Enterprise order form are governed by that order form and not by the pricing page.

10When a payment is missed

If a renewal is not paid by the due date — because a card was declined, a bank rejected the payment, or the notice was simply not paid — the following happens:

  • The workspace keeps working during a grace period of 15 days after the period ends, and reminders continue to the billing contact and the owners.
  • When the grace period ends the workspace is paused: every lead, call, recording, attendance record and team member is kept, but nobody can call, log outcomes or edit anything. Only the billing pages remain available.
  • Paying the open renewal resumes the workspace immediately, with everything exactly as it was. There is no reactivation charge and nothing has to be set up again.
  • A workspace that stays paused for 90 days is deleted (see “Data deletion”).

A pause is not a cancellation and does not settle what is owed; the open invoice stays due.

11Data deletion

Ninety days after a workspace is paused for non-payment, or after a subscription is cancelled and its paid period has ended, the workspace data — leads, calls, recordings, attendance and team members — is permanently deleted. Administrator accounts remain so you can start again. We email the administrators before this happens, and the date is shown in the Billing area.

Deletion is irreversible. Export your data from the Leads and Reports areas before then if you need it.

12No refunds

All payments are final. Once a subscription or renewal is paid we do not offer refunds, credits or partial refunds — including for unused seats, unused time in a period, downgrades, cancellation before the period ends, or a workspace that was not used.

The only exceptions are where a refund is required by law, or where we charged you in error — a duplicate payment, for example, or an amount that does not match what you agreed. In those cases we correct it with a credit note against the invoice and return the amount to the original payment method, in the currency it was paid in. How long it then takes to appear is up to your bank.

If you think one of those exceptions applies to you, tell us — see “Disputes and questions”.

13Chargebacks

If a charge looks wrong, please tell us first. Almost every case — a duplicate payment, a renewal you believed was cancelled, a seat count you did not expect — is settled quickly from the invoice and the payment record.

Raising a chargeback with your bank without contacting us first is slower for everyone, and it has consequences you should know about:

  • The disputed amount is withdrawn from us while the bank investigates, which leaves the invoice unpaid. The workspace may be paused until the dispute is settled, in the same way as any other unpaid renewal.
  • If the dispute is resolved in our favour, the invoice remains payable, and we may pass on the dispute fee our payment processor charges us by adding it to your next invoice.
  • If it is resolved in your favour, or we find that we were in the wrong, that is the end of the matter and nothing further is due.

Write to [email protected] with the invoice number and we will look at it properly. We would far rather correct a genuine mistake ourselves than have a bank decide it for us.

14Cancellation

You can cancel at any time from the Billing area. There is no notice period, no minimum term outside an Enterprise order form, and no need to call or email anyone.

  • Cancelling stops the next renewal. Access continues to the end of the period you have already paid for, including an annual period however much of it is left.
  • No further renewal notices are issued, and nothing is refunded for the remaining time (see “No refunds”).
  • Your team carries on working normally until the period ends. Export anything you want to keep from the Leads and Reports areas before then.
  • You can subscribe again before the period ends and simply carry on, with the same workspace and the same data.

When the paid period ends, the workspace pauses: the data is kept, but nobody can call or edit anything. It stays that way for 90 days and is then permanently deleted (see “Data deletion”). Subscribing during those 90 days brings it back exactly as it was.

An invoice that was already due when you cancelled remains payable.

15Pausing your subscription

An owner or billing admin can pause a paid subscription from the Billing area for 1, 2 or 3 months. Pausing is free and can be used as often as you like.

  • The pause starts when the period you have already paid for ends. Until then everything works as usual, and you can take the pause back at any time before it starts.
  • While paused, the workspace is locked: your leads, calls, attendance records and team members are kept, nothing is charged, and only the owner and billing admins can sign in — to resume early or to pay.
  • You can resume early from the Billing area. You pay for a new period that starts on the day you resume, and everyone can work again as soon as the payment is confirmed.
  • A week before the pause ends we issue the renewal invoice and email it to you. Once it is paid, the workspace reopens on the resume date.
  • If that renewal is not paid by the resume date, it is treated like any other missed renewal (see “When a payment is missed”).

A pause does not extend a period you have already paid for, and nothing is refunded for the time before it starts (see “No refunds”).

16Enterprise agreements

Enterprise is priced by quote rather than from the pricing page. Seats, limits, entitlements, support and onboarding are agreed with our sales team and recorded in an order form signed by both sides.

An order form may set terms that differ from the ones on this page, including:

  • the price and the length of the committed term;
  • the payment terms — for example payment against an invoice within an agreed number of days, rather than in advance online;
  • the currency and the invoicing arrangement, where these differ from the usual country rule;
  • purchase order references, and payment by offline bank transfer instead of through our payment processor.

Where an order form and these payment terms conflict, the order form prevails for that customer, on the points it covers. Anything it does not cover is governed by these terms.

Purchase orders, bank transfers and renewal quotes are arranged through sales rather than in the Billing area. Write to [email protected] and we will put you in touch.

17Disputes and questions

If you believe a charge is wrong, write to [email protected] within 30 days of the payment with the invoice number and what looks wrong to you. We investigate every case and correct genuine errors with a credit note and, where money is owed back, a refund to the original payment method.

It helps to have these to hand:

  • the invoice number and the date of the payment;
  • the amount charged and the amount you expected;
  • the payment reference shown under Payments in the Billing area.

Tell us before the due date where you can, so a disputed renewal is not left running towards the grace period while we look into it. We acknowledge every query and explain the outcome, whichever way it goes.

If we cannot agree, the escalation route in the Terms of Service applies: write to us setting out the problem and what you would like us to do, and both sides try in good faith to resolve it within 30 days before any proceedings are started in the courts at Agra, Uttar Pradesh, India under the law of India. None of this limits rights you have that cannot be limited by contract.

Please come to us before going to your bank — see “Chargebacks”.

18Changes to these terms

We may update these payment terms — to describe a new billing feature, to reflect a change in tax or payments law, or to make something clearer. The date at the top of this page shows when the current version took effect.

Where a change materially affects what you pay or the protections on this page — the grace period before a pause, the deletion window, the refund position — we announce it in the Billing area and by email to the billing contact and the workspace owners at least 14 days before it takes effect, and it applies from your next renewal rather than part-way through a period you have paid for. Smaller changes, such as a clarification or a corrected reference, take effect when they are published.

If you do not accept a change, cancel before it applies; access runs to the end of the period you have already paid for. Continuing to use LumaKol after the effective date means you accept the updated terms. Cancelling for this reason does not by itself create a right to a refund of fees already paid.

These terms form part of the Terms of Service provided by BlackLens Studio, 33/19B/8G, Lohiya Nagar, Balkeshwar, Agra, Uttar Pradesh 282005, India; where the two differ on payments, this page applies. List prices change as described in “Price changes”. How we handle personal data is described in the Privacy Policy, and questions about that go to [email protected].
