A calling CRM for real estate teams: from portal enquiry to site visit to closing

Property leads come from portals, ads, walk-ins and channel partners, and every one of them expects a call within minutes. A working setup for brokerages and developer sales teams.

Real estate is a calling business. A buyer clicks “Contact” on a listing, and within minutes three brokerages are competing for the same conversation. The one that calls first, remembers what was said, and shows up on time for the site visit usually earns the commission. A CRM built around calls, rather than around emails, is the difference between a team that closes and a team that is always “following up”.

Every lead source into one queue

A typical brokerage receives leads from property portals, Google and social ads, its own website, IndiaMART or JustDial listings, walk-ins at the site office, referrals and channel partners. Each arrives in a different place, and the first job is to make them arrive in one queue with the source recorded.

  • Google Ads lead forms, Facebook and Instagram lead ads, IndiaMART and JustDial connected under Setup → Lead sources, so a new enquiry lands with an agent and rings their phone while the buyer is still on the sofa.
  • Your own website’s enquiry form posting to a lead-source webhook, or a LumaKol lead form shared as a link in ads, listings and WhatsApp replies.
  • Portal leads imported from a CSV or Excel export, or from a Google Sheet, with duplicates checked against existing leads by phone number.
  • Missed calls from new numbers on agents’ Android work SIMs turned into leads with a callback due, once an owner or admin switches it on in Settings → Calling policy.
  • Walk-ins added from the phone at the site office in thirty seconds — name and number first, project and budget on the lead afterwards.

Every source can carry its own owner (one person, or shared in turn across a team), starting stage and tags. A buyer who enquires again from another channel does not become a second lead for a second agent: the repeat enquiry is added as a note on the lead you already have. Source then becomes the most useful report you have: which channel produces site visits, and which produces numbers that never answer.

Speed matters more in property than almost anywhere, because the same buyer has usually clicked three listings. An automation rule — “if nobody calls a new lead within 10 minutes, alert the managers and pass it to the next agent” — makes sure a lead never waits because its first owner was on a site visit.

The first call: qualify in three questions

The first call should take under four minutes and end with a booked site visit or a clear disqualification. Three questions do most of the work: budget range, preferred locality or project, and timeline to buy. Capture these as fields on the lead — budget as a number in lakhs, timeline as a choice — so every caller sees them on the lead page, they come through in exports, and nobody has to dig through notes.

Post-call dispositions for property teams are short and specific. A set that works: Site visit booked, Interested — send details, Budget mismatch, Location mismatch, Not reachable, Call back later, Not interested, Broker/competitor. Each disposition sets its own default follow-up: “Send details” due in one hour, “Call back later” due at the promised time, “Not reachable” retried in three hours.

Site visits are appointments; treat them like one

A site visit booked on a call is a promise from both sides. The “Site visit booked” outcome moves the lead to a Site visit stage and sets a follow-up for the evening before, so the agent’s phone reminds them to confirm; the confirmation goes out from a WhatsApp template with the location pin, sent from the agent’s own number in one tap; and a no-show is an outcome of its own so the pattern is visible. Teams that track show rates per agent and per source quickly find where their weekends are being wasted.

On the day, the agent opens the lead and taps Check in when they reach the site. LumaKol takes the phone’s location once, at that moment, and shows how far it is from the location saved on the lead — “At the location” within 200 metres. A purpose, a note and a photo can go with it, and Check out records how the visit went on the lead’s timeline. Location is never tracked in the background; it is only read at check-in and check-out.

After the visit: the week that decides the deal

Most property decisions are made within a week or two of the visit. The cadence that keeps the brokerage in the conversation without pestering: a same-day thank-you message with the payment plan; a call the next day to answer the questions the buyer thought of overnight; a call on day four with any offer or availability change; and a decision check on day seven. Every one of these should be a due follow-up on the lead, not a hope.

A sequence can carry that cadence for you. Add the lead to a “Visited” sequence and it emails a link to the payment plan straight away, reminds the agent to send the next-day WhatsApp with the text ready, and sets the day-four and day-seven calls as follow-ups. It stops on its own when the lead is won or lost, or when a call is answered, if you leave those options on.

When the buyer asks for numbers in writing — a booking amount, a brokerage fee, a parking add-on — send a quote from the lead: line items, tax, any discount and a validity date, shared as a link on WhatsApp. The buyer can accept it on their phone and pay the booking amount by UPI straight to your business’s UPI ID; LumaKol never touches the money. An accepted or paid quote sets the lead’s deal value, so the pipeline shows rupees as well as leads.

Channel partners and shared leads

Developer sales teams working with channel partners need to know who sourced a lead and when, to settle disputes fairly. Record the partner as the lead source with the date of first contact, and keep the call history as evidence. Agree the ownership rule in writing — first touch wins for 30 days, for instance — and let the record settle it: because duplicates are matched by phone number, a partner’s second submission of the same buyer lands as a dated note on the existing lead rather than a fresh lead with a new owner.

What the sales head sees

A live board of who is calling, on a break or idle; today’s calls and outcomes per agent; overdue callbacks in red; and a pipeline by stage. The Field visits page shows each person’s check-ins for the day in order, with the distance from each lead’s saved location and the route between stops. With calls captured from the agents’ own SIMs, the numbers are real rather than self-reported, and the head of sales spends the daily stand-up on deals instead of on “how many calls did you make”.
