Notes, reminders and voice memos

Note types that read at a glance, reminders that find you, and memos saved to your own Drive.

Step by step

After this video you can keep notes that read at a glance, set reminders that reach you on the web and on the phone, and record a short voice memo when typing is too slow.

    Open Notes & reminders

    Notes & reminders is in the sidebar. It holds the notes and reminders for the calls you make, and only you can see your notes.

    Write a note

    New note opens a short form: a Title you will recognise in a list, Details, and a Type such as Call back or Meeting. Link it to a lead by typing a name or number, and tick Pin to the top for the ones you need every day.

    Turn it into a reminder

    Remind me at sets a time. You get a notification at that time here and in the app; leave it empty for a plain note.

    Read the list

    Open notes are grouped into Due now, Later today, Upcoming reminders with the soonest first, and Notes with pinned ones on top. Search finds notes and reminders by their words, and the type filter narrows the list.

    Snooze or finish a reminder

    Snooze moves a reminder to In 1 hour, In 3 hours, Tomorrow or Next week, and it fires again at the new time. Mark done moves a note to the Done tab, and Reopen brings it back.

    Record a voice memo

    Voice memo lets you say it instead of typing. Memos are capped at 60 seconds, and what you say is also written down when your browser supports it.

    Where voice memos are kept

    Voice memos are saved with your call recordings, in the place an admin chose under Settings → Privacy → Where recordings are saved. When that is each caller’s Google Drive, connect yours once and record from anywhere.

    Set the note types for everyone

    Admins manage the list in Settings → Notes & reminders. Each note type has a colour and an icon so the list reads at a glance, and Allow voice memos turns memos on or off on the web and in the app.

Tips

  • Keep note titles to one line you will recognise later; the details can hold the rest.
  • Reminders arrive as My reminders notifications, which each person can tune in their notification preferences.
