Step by step
After this video you can track the details your sales process needs on every lead, put the right opening lines beside the Call button and give agents message templates that fill themselves in.
- 1
Open Setup → Custom fields
Custom fields hold the extra information you track on every lead, such as budget, project or course. Add field, give it a Label and choose its Type.
- 2
Pick one of the ten types
The types are Text, Number, Currency, Date, Dropdown, Multi-select, Checkbox, Link, Email and Phone. Dropdown and Multi-select take a list of options, which keeps answers consistent from one caller to the next.
- 3
Write a hint for agents
Hint for agents is a line that tells callers what to enter and in what form. A good hint stops two callers recording the same answer two different ways.
- 4
Make a field required only when it must be
Required when editing a lead forces a value before the lead can be saved. Use it only when a missing value breaks a later step. Deleting a field later keeps the values already stored on leads, but they are no longer shown.
- 5
Use the fields in imports
Custom fields appear on every lead and can be mapped from imports. When you import a sheet, a spare column can also become a new custom field on the spot.
- 6
Write call scripts
Setup → Call scripts. A general script applies everywhere; a script for a stage or a lead source overrides it. Insert variable adds the lead’s details, such as {{first_name}}, {{company}}, {{agent}}, {{org}} or any custom field, filled in when the agent reads it.
- 7
Where agents read the script
On the calling queue card and on the lead, the script that matches the lead’s stage and source is shown with the values filled in, so the opening line is ready before the dial.
- 8
Create message templates
Setup → Message templates. Each template has a channel (WhatsApp, SMS or email), a category such as Introduction or Brochure, and a body with the same variables.
- 9
Send a template from the lead
On the lead, tap WhatsApp, SMS or email, pick a template, edit it if needed and open it in that app. It goes from the agent’s own number, and LumaKol logs the message on the lead’s timeline.
Tips
- {{agent}} is the caller’s full name; type {{agent_first_name}} for the first name only.
- Keep the template library small: a handful of messages agents send every day beats a long list nobody reads.
- During the free trial a workspace can have up to 5 custom fields.
