Step by step

After this video you can bring in the sheet your team already uses, map its columns, keep duplicates and bad numbers out, and hand the leads to your callers in the same step.

  1. 1

    Choose the file

Leads → Import. Drop a .xlsx, .xls, .csv or .tsv file of up to 50,000 rows and 25 MB, with column headings in the first row. Several files can go in at once: each file, and each sheet in a workbook, becomes its own list.

  2. 2

    Match the columns

LumaKol matches common headings automatically. Confirm which column is the mobile number (required), the name and the email, and map extras to lead fields such as company, city, source or stage.

  3. 3

Turn a spare column into a custom field

A column that matches no lead field can become a new custom field on the spot, or you can skip it. Nothing has to be set up in Setup → Custom fields first.

  4. 4

    Assign and label

Choose Decide later to leave the leads unassigned, one person, or Split evenly across the people you tick. Give the sheet a source label: it becomes the lead source you see in reports.

  5. 5

    Check the rows before importing

Every row is checked in your browser before anything is uploaded: phone numbers, numbers repeated in the file and your custom field rules. Each problem row is listed with its row number and the reason, and Download these rows to fix saves them as a sheet to correct and import again.

  6. 6

    How duplicates are caught

Only rows that pass are imported. A number already in the workspace is skipped as a duplicate, so the existing lead keeps its owner and its history.

  7. 7

    Track the list afterwards

Leads → Manage lists shows every list with who uploaded it, how many leads it holds and who they sit with, and how far it has been called. Reports → Import history lists every sheet imported, with what was accepted and what was skipped.

Tips

  • A number with a + is read as written. One without it is read as a number of your workspace’s country first, then as an international number written without the +.
  • During the free trial a workspace can keep up to 500 leads.
  • Use one source label per channel, such as an expo or a campaign, so reports can tell them apart later.
