Step by step
After this video your working calendar, shifts and attendance rules are set, so follow-ups skip holidays, late and absent days mean something, and a full day is defined by time worked.
- 1
Set the working week
Settings → Working days & holidays. Choose the day the week starts on and tick your working days.
- 2
Add the holidays
Add a holiday with its date and, if you like, a name. Holidays are kept per financial year, so each year gets its own list. Import sheet takes a sheet with Date and Holiday columns, and Download template gives you one to fill in.
- 3
Carry the list into next year
Carry forward to next year copies this year’s holidays onto the same calendar dates. Adjust the ones that move each year afterwards.
- 4
How holidays move follow-ups
Follow-ups scheduled on a holiday move to the next working day, so nobody comes back to a pile of callbacks that fell due while the office was closed.
- 5
Decide whether calling is allowed on holidays
With Allow calling on holidays off, agents cannot dial from the app on a holiday. Any single day can be turned back on in the list, which helps when one team works through a festival.
- 6
Create a shift
Team → Shifts → Add shift. Give it a name, the time it Starts and Ends, a Grace in minutes and its working days. Leave the time zone empty to use the organisation’s. Assign it to teams, or to people directly; a direct assignment wins over a team’s shift.
- 7
What a shift makes possible
A check-in after the start plus the grace counts as late, a check-out before the end counts as leaving early, and a scheduled day with no check-in is marked absent. Without a shift, attendance still records check-ins but cannot flag late or absent days.
- 8
Define a full day and a half day
Attendance in the sidebar → Attendance settings. Full day from and Half day from are minutes worked, on-site time minus breaks. Below the half-day mark the day counts as absent; between the two it is a half day.
Tips
- Financial year starts in sets the month each holiday list begins, such as April in India and the UK, or January in most other countries.
- Check-in and check-out reminders are sent when someone has not checked in after their shift starts, or is still checked in after it ends.
