Track field visits with check-in and check-out
Check in when you reach a customer and check out when you leave. The location is read once at each moment, compared with the lead’s saved location, and every stop shows up on the day’s route.
- Location allowed for LumaKol on your phone, or for the site in your browser
- Ideally the customer’s location saved on the lead — if not, you can save it on your first check-in

Check in when you arrive
Open the lead and tap Check in. The phone or browser asks to share its location once; it is saved with the visit and compared with the lead’s location. Add a purpose in a few words and a note for the team. Visit photos — a shop front or a signed form — are saved to your own Google Drive, so they work once Google Drive connections are switched on for LumaKol; that is still waiting on Google’s approval. If you still have a visit open somewhere else, it is closed first.
Tip: A lead with no saved location offers “Save this spot as the lead’s location”. It is only saved when the phone’s fix is accurate to 150 m, and later visits are measured from it.- Open the lead

How far you are from the customer
The visit shows “At the location” when the check-in is within 200 metres of the lead’s saved location, or the distance away when it is further. A lead without a saved location shows “No saved location” — the visit still counts.

Check out when you leave
Tap Check out and write the result in a few words — the next step agreed, an order taken, a reason it did not happen. It goes on the lead’s timeline with how long you stayed. Forgot to check out? The visit stays marked “Not checked out”, and your next check-in closes it.

The Field visits page
Field visits in the sidebar lists every check-in day by day: each person’s stops in order, how far each was from the lead, roughly how many kilometres lay between stops in a straight line, and “Open route in Google Maps” for the day. Totals at the top show visits, average stay, how many were at the location, and how many people were in the field. Agents see their own visits, team leads their team’s, and owners and admins everyone’s; pick one person or everyone.

What is and is not tracked
Location is read only at check-in and check-out — never in the background, and never between visits. This is separate from attendance: a workspace can also ask for a location when someone checks in for the day, and that is the only other time it is read.
Wat je aan het eind hebt
- Every customer visit on the lead’s timeline, with purpose, outcome and time spent
- A daily route per person with distances, without background tracking
- Proof of the visit that the team can see, not a message in a group
Veelgestelde vragen
Does LumaKol track my location all day?+
No. The location is taken once when you check in at a lead and once when you check out. Nothing is collected in between or in the background.
Do I need the app?+
No. Check in and check out work in the Android and iPhone apps and in the browser, as long as location is allowed.
Can I add a photo to a visit?+
Visit photos are saved to your own Google Drive, like voice memos, and that connection is waiting on Google’s approval. Until it is switched on, write what you saw in the visit note.
