Choosing a calling CRM: 15 questions to ask before you buy
Demos all look good. These questions separate software that captures calls from software that expects agents to type, and surface the costs that only appear on the second invoice.

Every CRM demo shows a pipeline, a dashboard and a mobile app. What a demo cannot show is what happens on a Tuesday afternoon when an agent finishes a call in a car park with weak signal and needs to log it before the next one. The questions below are the ones that find that out. Ask them on the trial, not on the sales call.
Capturing calls
- Are calls logged automatically from the agent’s phone, or does the agent have to dial from inside the app? Anything the agent has to remember will be missed on the busiest days.
- Does it capture incoming and missed calls from your leads too, or only outbound? A missed call from a customer is a callback waiting to happen.
- Does it read only the work SIM on a dual-SIM phone and leave the personal SIM alone? Ask to see the permission screens.
- What happens after the phone restarts or the app is killed? Capture should resume without the agent noticing.
- How are calls matched to leads — by the lead’s primary number only, or any of its numbers?
What it really costs
- Is pricing per seat, or per seat plus per minute plus per number? Cloud dialers bill for talking; make them show a month’s invoice for a team your size.
- Which roles need a paid seat? Owners, admins and viewers should not cost the same as calling agents.
- What is the minimum seat count and the annual commitment? A “from ₹X” price with a ten-seat minimum is a different price.
- Is there a free trial without a card, long enough to run real calls for two weeks?
The agent’s minute
- When a call ends, what appears on the phone? A one-tap outcome with a default follow-up is the standard; a form to open later is not.
- Can the org define its own outcomes, questions per outcome, and what each outcome does to the stage and follow-up?
- Does the app work offline — call, log the outcome, set the follow-up — and sync later without duplicates?
- Can the agent send a WhatsApp or SMS template from the lead in one tap, and is it logged?
Management and control
- Is there a live board fed by the phones — who is available, on a call, on a break, idle — and daily numbers per agent without anyone filing a report?
- Can numbers be masked by role, recording access restricted, and a person’s data deleted on request across every device?
A simple scorecard
| Area | Must have | Nice to have |
|---|---|---|
| Capture | Automatic from work SIM; incoming and missed; survives restarts | Recording sync from the phone’s dialer |
| Feedback | One-tap outcome at call end; defaults follow-up and stage | Questions per outcome; mandatory mode |
| Follow-ups | Due list per agent; reminders on the phone; attempt limits | Retry schedules; rules that reassign untouched leads |
| Channels | WhatsApp/SMS templates logged on the lead | WhatsApp Business inbox |
| Team | Live board; attendance; per-agent daily numbers | Targets on the agent’s home screen |
| Data | Import with duplicate checks; web forms; ad and portal leads arriving on their own | API and webhooks |
| Trust | Work-SIM-only capture; masked numbers; deletion; audit trail | Screenshot blocking; SSO |
| Cost | Per seat; free viewer roles; card-free trial | Annual discount; volume pricing |
How to run the trial
Pick three agents, including the one who hates software. Import last month’s leads. Run real calling for ten working days with the app capturing from the work SIM. On day ten, answer three questions from the data alone: how many calls were made, how many leads have a next follow-up set, and how many callbacks were kept on time. If the answers are visible without asking anyone, the product works. If you had to ask, it does not — no matter how good the demo was.
