Follow-ups in Google, Apple or Outlook

A private subscribe link, what each entry carries, and why Google can take hours to refresh.

After this video your follow-ups show up in Google, Apple or Outlook Calendar through a private link, you know what each entry carries, and you know why Google can lag.

    Create your link

    Settings → Calendar sync → Follow-ups in your calendar → Create my link. The feed belongs to the person who creates it, not to the workspace.

    Treat the link like a key

    The link is long, unguessable and ends in .ics. Anyone holding it can read those follow-ups without signing in, so it goes into your calendar app and nowhere else.

    Subscribe in your calendar app

    Google Calendar: Other calendars → From URL. Apple Calendar: File → New Calendar Subscription. Outlook: Add calendar → Subscribe from web. Paste the same link into whichever you use.

    Choose personal or team

    What to include is either Only follow-ups assigned to me or Everyone I can see. An agent’s feed is always their own, whatever is asked for. Changing it updates the calendar you already subscribed to.

    What each entry carries

    The title is Call and the lead’s name, with the owner’s name on a team feed. The number sits in the location; the description has the phone, company, stage, last outcome, attempts and a link to the lead. Each entry is half an hour with a reminder ten minutes before.

    Why Google can take hours

    A subscription is re-read when your calendar decides. Apple and Outlook check every few minutes; Google can take several hours. Use the calendar as the plan for the day, and the app’s push notification as the signal that a call is due now.

    Prefer Google Calendar sync

    If Google Calendar is the one you use, Connect it under Settings → Calendar sync → Google Calendar and Outlook instead. LumaKol then writes events itself, and moving or deleting an event there moves or clears the follow-up.

    Replace or stop the link

    New link replaces it at once and the old one stops working. Stop sharing removes the entries from every calendar; your follow-ups themselves stay on the leads.

Tips

  • If the link has been read and the calendar is still empty, there are probably no follow-ups booked in the next three months.
  • The panel shows when your calendar last read the link, which is how you confirm the subscription works.
