Car dealership follow-up calls: from online enquiry to test drive to booking

A calling routine for car and two-wheeler dealership consultants: the first call on an enquiry, test drive reminders, exchange and finance follow-ups, and the booking.

A buyer narrows a new car down to two models on a Sunday evening and fills in enquiry forms on the manufacturer’s site and a dealer’s website. On Monday the showroom is busy with walk-ins, and the consultant who is meant to call online leads gets to them on Tuesday afternoon. By then another dealership has booked a test drive. Car dealership follow-up is lost in small gaps like this one: the first call that comes a day late, the test drive nobody confirmed, the exchange valuation that sat with the evaluator for a week.

This is a calling routine for sales consultants and the managers who run them, from the first call on an enquiry to the booking amount. It works for car and two-wheeler dealers alike, and for showrooms that also do home test drives.

Why dealership enquiries go cold

  • Online leads wait while the floor is busy. The same consultants who handle walk-ins are meant to call website, OEM and ad leads, and walk-ins always win.
  • Test drives are booked but not driven. A slot agreed on the phone three days ago is easy for a buyer to forget or quietly drop.
  • Exchange and finance stall the deal. The buyer wants a price for the old car and a loan approval before booking, and those calls bounce between the consultant, the evaluator and the financier.
  • The price changes on every call. Variant, colour, accessories, insurance and discount move the quote, and versions get lost in chats.

The first call: model, timeline and a test drive slot

The first call has one aim: a test drive booked for a specific time. Keep the questions to what decides the drive and the deal.

  1. Open with their enquiry: “Hi, this is [name] from [dealership]. You enquired about the [model] last night. Is now a good time for two minutes?”
  2. Confirm the model and the variant or fuel type they are leaning towards, and whether anything else is on their list.
  3. Ask when they plan to buy. “This month” and “after Diwali” need different follow-up.
  4. Ask about budget, and whether they will pay outright or need finance.
  5. Ask whether they have a vehicle to exchange: make, model, year and roughly how far it has run, so the evaluator can prepare.
  6. Offer the test drive at the showroom or at home, and fix a day and time before the call ends.

If the buyer is not ready to drive, book a dated callback around their timeline instead and send the brochure and price on WhatsApp straight away. The telecalling script templates and the objection handling sheet are a starting point for the opener and for “just send me the on-road price”.

Making sure the test drive happens

A booked test drive is a promise from the buyer that costs them nothing to break. Two contacts before the drive and one after make most of the difference.

  • Straight after booking: a WhatsApp message with the date, time, showroom location or home address, the consultant’s name, and a reminder to bring a driving licence.
  • The day before or that morning: a short call to confirm. If they cannot make it, rebook on the same call.
  • For a home test drive: arrive on time with the right variant, and note on the lead how it went before you drive away.
  • After the drive: talk variant, price and timeline while the experience is fresh, and leave with a next step on a date.

Exchange and finance: one owner, one date for each

Once a buyer likes the car, the deal usually waits on two answers: what the old vehicle is worth and whether the loan is approved. Each answer has a different person working on it, which is why it stalls.

  1. Write the exchange details and the financier on the lead, not in a chat, so the consultant, the evaluator and the manager see the same thing.
  2. Give each open question a dated follow-up and an owner. “Evaluator to share price by Thursday” means a call on Thursday.
  3. Tell the buyer when they will hear back, then call on that day even if the answer is “still waiting”.
  4. Have the sales manager review leads with overdue follow-ups at this stage every morning. These are the closest to booking, so the cost of a slipped day is highest here.

The quote and the booking amount

Send the price as one document with each part on its own line: the variant, accessories, insurance and any discount. A buyer comparing two dealerships needs to see where the numbers differ, and a quote with lines answers that before they ask. When the buyer is ready, paying the booking amount should take one tap from the quote.

Keep the latest version on the lead. When the variant or the discount changes, send a fresh quote rather than editing a screenshot, so nobody on your side quotes an old number.

What the sales manager should look at each week

NumberWhat it tells you
Time to first call on online leadsWhether enquiries wait while the floor is busy
Enquiries reaching Test drive bookedWhether first calls end with a slot
Test drives booked versus doneWhether confirmations happen
Leads in Quote and finance with overdue follow-upsWhere nearly-booked deals are slipping
Bookings by lead sourceWhich ads, portals and listings are worth their cost

Compare each consultant with their own last month before comparing them with each other. A consultant who covers the floor on weekends will always have slower first calls on Sunday leads, and that is a question for the rota.

Running this routine in LumaKol

A workspace that chooses Automotive at sign-up, or applies that industry pipeline template, starts with:

  • Stages: New enquiry, Contacted, Test drive booked, Test drive done, Quote and finance, then Booked or Lost.
  • Fields: Model of interest, Budget, Has a car to exchange and Plans to buy by. Add your own for the exchange valuation or the financier.
  • Call outcomes such as Interested, which moves the lead to Test drive booked with a follow-up the next day, and Send brochure and price on WhatsApp, which sets a follow-up for the next day.
  • An opening script that names the model the buyer asked about and offers a test drive this week.

Google Ads, website and JustDial enquiries arrive as leads, and each source can share its leads round-robin between its own consultants, for example one group per showroom, with a push to the consultant the moment a lead arrives. OEM portal leads come in by CSV or Excel import, or by webhook if the portal can send one. Automation rules such as “A new lead is not called in time” and “A follow-up is overdue” can reassign a lead or send a notification to the sales manager.

Consultants check in and out at the buyer’s address for home test drives, with a note, and the day’s drives open as a route in Google Maps. A quote with separate lines and their GST rates goes out as a link the buyer can accept, and in India they can pay the booking amount by UPI to the dealership’s own UPI ID. The dealer CRM page shows the full setup, including how a service desk can use the same calling queue.

Pytania na ten temat

How fast should a dealership call an online enquiry?+

Within minutes when you can, and certainly the same day. Buyers often enquire at more than one dealership, and the first one to book a test drive is in the strongest position.

How do we reduce test drive no-shows?+

Confirm by WhatsApp straight after booking with the time, place, consultant and a licence reminder, then call the day before or that morning. Rebook on the same call if plans have changed.

Who should own exchange and finance follow-ups?+

The consultant should own the customer conversation, with the evaluator and financier each given a date for their answer. Put the details and dated follow-ups on the lead so everyone sees the same status.

Can OEM portal leads come into LumaKol?+

Yes, as a CSV or Excel import, or by webhook if the portal can send one. Google Ads, website forms and JustDial connect as lead sources directly.

Does this work for two-wheeler dealers?+

Yes. The stages and outcomes are editable, so a two-wheeler dealer can keep the same routine, rename stages and add a stage for service reminders if the service desk calls from the same queue.
