Sheet rows in, call outcomes written back
Connect a spreadsheet once with Google’s own file picker and map its columns. The rows already in the tab come in first, new rows at the bottom arrive about every 15 minutes, and each lead’s stage, last outcome, latest call time and agent can be written back beside its row.
- New rows about every 15 minutes
- Outcomes written back to the row
- On every plan

Google Sheets at a glance
- How leads get in
- You pick the spreadsheet in Google’s own file picker, which gives LumaKol access to that one file through your Google account.
- How fast
- The first rows come in within a few minutes, and a long sheet over several checks. After that, new rows arrive about every 15 minutes, or at once with Sync now.
- Repeats and retries
- Matched by phone number. A row whose number is already a lead is counted as a duplicate, not added a second time.
- Where you set it up
- LumaKol: Integrations → Google Sheets, after connecting Settings → Google Drive. Google: a Google Sheets file your account can open.
Who it’s for
Teams whose leads already land in a Google Sheet: rows a form or another tool adds, or the sheet the team has always kept. The sheet stays where it is, and callers work the new rows from their LumaKol queue on their own phones.
- Nobody exports or uploads a file to get new rows in.
- Columns go into lead fields or custom fields, including new ones named after their heading.
- With write-back on, the sheet shows each lead’s stage and last outcome without anyone opening LumaKol.
How to connect it
- 1
Connect Google Drive
As an owner or admin, connect your Google account under Settings → Google Drive. The sheet is read through that account.
- 2
Pick the spreadsheet
In Integrations → Google Sheets, press Connect a sheet and choose the file in Google’s picker. It lists Google Sheets files only, so save an Excel file as a Google Sheet first.
- 3
Map the columns
Choose the tab, whose first row holds the headings, and say what each column holds. One must be the phone number. Optionally pick empty columns for outcomes to be written back.
- 4
Start syncing
The rows already in the tab come in first. After that LumaKol reads new rows at the bottom about every 15 minutes, and Sync now reads them at once.
What comes in from the sheet
| What Google Sheets sends | Where it lands in LumaKol |
|---|---|
| The column you mark as the phone number | Phone, matched against your existing leads |
| Name, email, company, city and the other columns you map | The lead fields you chose |
| Any other column worth keeping | An existing custom field, or a new text field named after its heading |
| A pipeline stage column, if you map one | The lead’s stage, when it matches one of your stage names |
| Additional phone, notes and tags columns | Extra numbers, a note on the lead, and tags split at commas or semicolons |
Each row is read once, starting with the rows already in the tab. A row without a usable phone number, or with a stage that is not one of yours, is counted as unusable. In a company workspace new leads arrive unassigned, in a list named after the spreadsheet. Each lead is dated when its row came in, and the sheet’s entry in Integrations → Google Sheets counts today’s new leads, with View new leads to open them. Every row that becomes a new lead, the first rows included, runs your “A new lead arrives” automation rules, which can assign it, and is sent to your lead.created webhooks; a row whose number is already a lead does neither.
What goes back to the sheet
Only what you ask for. In the columns you pick, LumaKol writes the lead’s pipeline stage, last call outcome, the time of its latest call (in UTC) and the assigned agent into the lead’s own row, shortly after each call outcome is saved, in the app or on the web. Nothing else in the sheet is changed, and rows whose number was already a lead are left alone.
Included on every plan, and in the free trial. Leads from the sheet count toward the number of leads your plan stores.
Compare plansCommon Google Sheets problems, and the fix
My Excel file is not in the picker
The picker lists Google Sheets files only. Open the Excel file in Google Sheets, choose File → Save as Google Sheets, connect the copy, and add new rows to the copy from then on.
The sheet shows Needs attention
The reason is shown in red on its entry, and LumaKol keeps trying on its own. Most often it can no longer open the sheet: it was deleted, your access was removed, or Google Drive was disconnected or switched to another account. Pick the same spreadsheet again under Connect a sheet, close the set-up window and press Sync now.
A new row never became a lead
Check that it has a usable phone number and was added below the rows already read. A row read while it was half typed is counted as unusable and not read again, and editing a row that was already read changes nothing in LumaKol.
Outcomes are not appearing in the sheet
They are written only into columns you picked, only for rows that became leads through the sync, and only after a call outcome is saved. Nothing is written while the sync is paused or needs attention.
Questions about Google Sheets
Does it bring in the rows already in my sheet?+
Yes. When you start syncing, the rows already in the tab come in first, then new rows as they are added at the bottom. Rows whose number is already a lead are counted as duplicates, not added again.
If I edit a row, does the lead change?+
No. Each row is read once. Change the lead in LumaKol; if you chose write-back columns, the sheet then shows its current stage and outcome.
Can I sync an Excel file?+
Not directly. Open it in Google Sheets, choose File → Save as Google Sheets, connect the copy, and add new rows there.
Can LumaKol see the rest of my Google Drive?+
No. Picking a spreadsheet gives LumaKol access to that one file, not to the rest of your Drive.
Which plans include Google Sheets sync?+
Every plan, and the free trial. Leads from the sheet count toward the number of leads your plan stores.
