Step by step

After this video you can find every promised callback by when it is due, see who is working right now on the live board, and read attendance knowing how active time is measured.

  1. 1

    Open Follow-ups on the web

The Follow-ups page has tabs for Due now, Overdue, Today, Tomorrow, This week and Later, a search by name or number, and filters for the lead’s list, its last outcome, how overdue it is and, for managers, its owner. Each row has Reschedule and Clear follow-up.

  2. 2

The same list on the phone

In the LumaKol app, the Tasks tab groups follow-ups into Overdue, Today and Next 7 days. Reschedule opens the presets and the date and time picker, and Done clears the follow-up with an Undo.

  3. 3

    Where follow-ups come from

Most are set by an outcome’s default after a call. Others are set on the lead’s Follow-up row, or by a manager on the web. A follow-up is always in the future: a time that has already passed is refused.

  4. 4

    Open Team → Live board

Every agent and team lead in your scope has a card: status and since when, check-in time, active time, breaks, outcomes logged today, and overdue and due-today follow-ups. It refreshes on its own.

  5. 5

    Read the board in order

Overdue first, because those are promises at risk. Then idle: checked in, not on a break, and no activity past the threshold. Then outcomes logged against calls, which shows whether feedback is being skipped.

  6. 6

Check in, take breaks, check out

Agents tap Check in on Home, Take break with the type your admin set up, and Check out at the end of the day. A forgotten check-out is closed by automatic checkout after the hours your admin set, and the report marks it as automatic.

  7. 7

    How active time is measured

Active time is time spent active in LumaKol on the web and in the app, with breaks left out. Checked in with no call or app activity for the idle threshold, ten minutes by default, shows as Idle until the next call or outcome.

  8. 8

    Read the attendance report

Attendance in the sidebar shows per person per day: check-in and check-out, active time on web and app, breaks by type, idle time and outcomes logged. Export it to CSV or Excel for payroll.

Tips

  • Sort the live board by overdue at the start of the day: the overdue count is the number to get to zero first.
  • Individual accounts have no attendance, check-in or live board; those are for company workspaces.
