Who it’s for
Teams whose leads start, or whose results need to go, somewhere LumaKol has no direct connection for: a CRM other than HubSpot, Pipedrive or Zoho CRM, a spreadsheet, a booking tool, a chatbot, a webinar platform or a niche marketplace. If Zapier connects to it, a Zap can link it to LumaKol.

How to connect it

Create an API key
In LumaKol, go to Integrations → API & webhooks, choose Create key, name it Zapier and tick leads:read, leads:write, calls:read, users:read and webhooks:manage. Copy the key: it is shown once.

Add LumaKol in Zapier
Open LumaKol’s Zapier invite with Add LumaKol in Zapier at the top of this page and accept it. LumaKol then appears when you search for it in the Zap editor.

Connect and pick events
Paste the API key when Zapier asks to connect LumaKol. Pick a trigger such as New Lead, Lead Moved Stage or New Call Outcome, or an action such as Create Lead, Update Lead, Add Note to Lead or Find Lead.

Test and publish
Test each step in Zapier, then publish the Zap. LumaKol sends its trigger events to Zapier as they happen, so the Zap does not wait for a polling interval.

Key names are not case-sensitive. A key you enter under Field names replaces the usual names for that field. Keys outside this list are not kept, so map anything else a caller should read into notes.
After the lead arrives
A lead sent with Webhooks by Zapier reaches the caller’s queue with a push, and its timeline shows it came in from your Zapier source. Zaps that feed different teams are best pointed at different Zapier sources, each with its own routing. An automation rule on Lead source is Zapier can add tags, set a follow-up or start a sequence the moment the lead lands.
Common Zapier problems, and the fix
Every record shows Not added
Read the reason in Activity. “No valid phone number” usually means the phone went out under a key LumaKol does not know. Rename that key phone in the Zap, or enter your own key under Field names with Edit.
Records stopped arriving after a settings change
LumaKol takes one record per request, sent as a single object. Leave Wrap Request In Array set to No in the Webhooks by Zapier step: a request wrapped in a list carries no fields LumaKol can read.
Only the first record ever arrived
An id that is the same on every record, such as a form or Zap ID, makes every later record look like a repeat, and repeats are not listed. Map the record’s own ID to id, or leave id out.
Payload Type is set to XML
Choose JSON, or form. LumaKol reads JSON and ordinary form fields; an XML body arrives with nothing it can use.
Questions about Zapier
Do I need a paid Zapier plan?+
Not for two-step Zaps: a LumaKol trigger with one action, or a trigger from another app with one LumaKol action, runs on Zapier’s free plan within its monthly task limit. Zaps with more steps, such as Find Lead then Update Lead, and the Webhooks by Zapier route need a paid Zapier plan. On the LumaKol side the app uses an API key, which works on every paid plan.
My app uses different field names. What do I do?+
In LumaKol’s app, map your app’s fields to LumaKol’s in the Create Lead or Update Lead step. With Webhooks by Zapier, name the keys name, phone, email and so on in the Zap, or open the source with Edit and enter your own key names under Field names.
Can I send Facebook lead ads through Zapier?+
Yes, when your Zap starts from a Facebook Lead Ads trigger: add LumaKol’s Create Lead action and map the answers to name, phone and email. LumaKol does not connect to Facebook directly.
Can LumaKol send data back to other apps?+
Yes. LumaKol’s triggers New Lead, Lead Moved Stage and New Call Outcome start a Zap the moment the event happens, so the record can go on to any app Zapier connects. LumaKol’s outgoing webhooks, on the API and webhooks page, do the same without Zapier.
