Lead tracker sheet

A lead tracker spreadsheet for a calling team: who the lead is, where they came from, who owns them, what happened on the last call and when to call next. Overdue follow-ups show up on their own.

  • Excel and CSV
  • No sign-up or email
  • Overdue follow-ups flagged

The 14 columns

What to write in each one, and why it is there.

  1. Date added

The day the lead came in, so you can see how long it has waited.

    Date
  2. Lead name

The person, and their company if it is a business.

    Text
  3. Phone

With the country code, written the same way every time, so repeats are easy to spot.

    Text
  4. Email

Optional. Useful for sending quotes and details.

    Text
  5. City

Where the lead is. Helps with visits and calling hours.

    Text
  6. Source

Where the lead came from. Pick from the list so sources can be counted.

    Drop-down

Website form · Ad lead form · Listing site · Referral · Walk-in · Phone enquiry · Cold list · Other

  7. Owner

Who calls this lead. One owner per lead.

    Text
  8. Stage

Where the lead is now. Move it on after every call.

    Drop-down

    New · Contacted · Interested · Qualified · Won · Lost

  9. Last call date

The day of the latest call attempt.

    Date
  10. Last outcome

What happened on that call, from the list of call outcomes.

    Drop-down

Hot: ready to buy · Needs information · Meeting / visit booked · Asked to call later · Not interested · Wrong number / not decision maker · Won · No answer · Busy · Switched off / unreachable · Invalid number · Requested no contact

  11. Attempts

How many times the lead has been called. Add one after every attempt.

    Whole number
  12. Next follow-up

The date of the next call. Blank only when the lead is won or lost.

    Date
  13. Days waiting

Filled in for you: days until the follow-up, negative when it is overdue.

    Formula
  14. Notes

One line the next caller needs to know.

    Text

How to use it

  1. One row per lead. Add new leads at the bottom.

  2. After every call, update Last call date, Last outcome, Attempts, Stage and Next follow-up.

  3. Every morning, sort or filter by Next follow-up and call the oldest dates first. Days waiting turns negative when a follow-up is overdue.

  4. Pick Source, Stage and Last outcome from the drop-down lists so they can be counted with a filter or a pivot table.

  5. Keep one owner per lead, so two people never call the same person.

  6. When the sheet gets hard to keep up to date, LumaKol can import it: Leads, then Import, in the web app.

Questions about this template

Is the template free?

Yes. Download either file straight from this page, with no sign-up and no email address.

Does it work in Google Sheets?

Yes. In Google Sheets choose File, then Import, and upload the Excel file to keep the drop-down lists and formulas. The CSV opens anywhere but has no lists or formulas.

Can I change the columns or lists?

Yes. Rename columns, add your own, or edit the values on the hidden Lists sheet to change the drop-downs.

Can I move this into LumaKol later?

Yes. Leads → Import in the web app reads Excel and CSV files with a header row, lets you match the columns and skips numbers that are already in your workspace.
